About the Company: One of Arizona's top premiere Metal plating and surfacing companies is seeking an administrative assistant to support the office.
About the Job:
The Administrative Assistant is responsible for day-to-day duties, such as event coordination, office and clerical tasks, setting up appointments, and answering phone calls while assisting the President and CEO, CFO, and Vice President.
Essential Duties:
- Answer and direct all incoming phone calls, retrieve messages from voicemails, and forward them to the appropriate personnel.
- Delivers messages or transfers incoming calls to voicemail when appropriate personnel are unavailable.
- Monitors visitor access
- Maintains and Updates calendars for the executive team.
- Establishes communications between customers and executives.
- Organizes documents and runs reports.
- Helps schedule and coordinate weekly, monthly, and quarterly meetings.
- Prepares travel vouchers as needed.
- Monitors and coordinates events for the President/CEO for on and off-site meetings, including offsite reservations.
- Monitors and maintains departmental inventory and coordinates with Accounting and Purchasing for equipment availability.
- Assists the Human Resources department with scheduling interviews, vetting job applications, and document filing.
- Assists with pulling daily reports for data collection and key performance indicators.
- Provide assistance in the Quality and Planning department.
- Performs other necessary clerical duties, such as filing and emailing copies.
Educational and Work Experience Requirements:
- High School diploma or equivalent, associate degree a plus.
- Previous experience in an administrative role preferred.
- Adept knowledge of computer applications like Excel, Word, and PowerPoint.
- Good written and verbal communication skills
- Ability to answer phone calls, provide basic business-related information, and send internal and external emails in a professional manner.
- Ability to work well with others in a high-intensity, fast-paced environment
Essential Physical Requirements:
- Ability to lift 20-30 pounds.
- Ability to alternate standing and sitting for 8 hours.
- Ability to communicate in both verbal and written forms.
- Ability to stoop and bend and use arms and hands.
